1. Scope and Acceptance
These Terms and Conditions govern access to and use of the official website of the 12th International UNESCO Global Geoparks Conference, as well as the purchase of conference registrations, tickets, activities, tours, products and other goods or services made available through the website.
The Conference will take place in Torres Vedras, Portugal, from 20 to 24 September 2027.
By accessing the website, registering for the Conference or purchasing any product or service through the website, the user acknowledges that they have read, understood and accepted these Terms and Conditions.
If you do not agree with these Terms and Conditions, you should not proceed with registration or purchase.
2. Organiser

For the purposes of these Terms and Conditions, this entity shall be referred to as the “Organiser”.
Where specific products or services are supplied by third-party providers, those providers may be identified separately during the booking or purchasing process.
3. Conference Registration
Registration is subject to availability and is considered valid only after the corresponding payment has been successfully completed, unless otherwise expressly stated.
The registration fee gives the participant access to the Conference according to the category and conditions selected at the time of purchase.
Different registration categories may be available, including:
- Delegate registration;
- Student registration;
- Early-bird registration;
- Regular registration;
- Accompanying person registration;
- One-day registration;
- Special or institutional registrations;
- Additional activities and services.
The benefits included in each registration category will be clearly indicated on the website before purchase.
Registration fees may vary according to the registration period, participant category and availability.
4. Registration Information
Participants are responsible for providing accurate, complete and up-to-date information during the registration process.
The Organiser may contact participants using the email address provided during registration for purposes relating to registration confirmation, payment, invoices and receipts, practical Conference information, changes to the programme, logistical information, activities and visits booked by the participant, and urgent organisational matters.
Participants are responsible for ensuring that the information provided is accurate.
5. Tickets and Access
A valid registration or ticket is required to access the Conference and/or any separately ticketed activity.
Tickets and registration confirmations may be issued electronically.
Participants may be required to present their ticket, registration confirmation and, where applicable, identification at the Conference venue.
The Organiser reserves the right to refuse admission where the ticket is invalid, duplicated, altered or fraudulently obtained; the ticket has not been paid in full; the participant fails to comply with applicable access conditions; or admission would violate applicable law, safety requirements or venue regulations.
Tickets are personal and may not be resold for profit or transferred where the ticket category is explicitly non-transferable.
6. Prices
All prices displayed on the website shall be stated in euros (€) and shall include applicable taxes, unless expressly indicated otherwise.
The total price payable will be clearly displayed before the customer completes the purchase.
Any additional charges, including applicable booking, delivery or service fees, will be disclosed before payment is completed.
The Organiser reserves the right to change prices for future purchases. Any price change shall not affect an order or registration already confirmed and paid for, except where required by law.
7. Payment
Available payment methods will be displayed during the registration or purchasing process.
Payment must be completed according to the instructions provided on the website.
A registration or purchase will only be considered confirmed once payment has been successfully authorised and received, unless otherwise stated.
If a payment fails, is cancelled or is subsequently reversed, the Organiser may cancel the corresponding registration, ticket or order.
Where applicable, invoices or receipts will be issued using the information provided by the purchaser.
8. Confirmation of Purchase
Following successful payment, the purchaser will receive an electronic confirmation containing, as applicable:
- Order or registration number;
- Participant information;
- Products or services purchased;
- Date(s) of the activity;
- Amount paid;
- Applicable taxes;
- Access or ticket information;
- Other relevant practical information.
Participants should retain this confirmation and present it when requested.
9. Cancellation, Refunds and Changes
Conference registrations are subject to the cancellation and refund policy applicable to the registration category and period in which the registration was purchased.
Where applicable, the website shall clearly indicate the deadlines and percentages applicable to cancellations and refunds.
Suggested policy (to be confirmed by the Organiser before publication):

Refunds, where applicable, shall be made using the original payment method, unless otherwise required by law or agreed.
Bank charges or transaction costs may be deducted where legally permissible and where previously disclosed.
10. Event Tickets and Right of Withdrawal
Because the Conference and certain associated activities constitute leisure/event services provided on a specific date or during a specific period, the statutory 14-day right of withdrawal applicable to many distance contracts may not apply to tickets for those activities.
Accordingly, tickets for the Conference, visits, tours, excursions, catering services or other activities scheduled for specific dates may be non-refundable, except where the Organiser’s own cancellation policy provides otherwise or where mandatory legal rights apply.
The specific cancellation conditions applicable to each product or service shall be displayed before purchase.
11. Conference Cancellation or Postponement
The Organiser reserves the right, where reasonably necessary, to modify the Conference programme; change speakers; change venues; modify schedules; replace activities; modify visits or excursions; postpone or cancel individual sessions; or postpone or cancel the Conference.
The Organiser will make reasonable efforts to inform registered participants of significant changes as soon as reasonably possible.
In the event of cancellation or postponement of the Conference, the Organiser will communicate the applicable refund, transfer or alternative arrangements in accordance with the circumstances and applicable law.
12. Programme Changes
The Conference programme, speakers, sessions, venues, visits and activities are subject to change.
Publication of a speaker, session, activity or venue does not constitute a guarantee that the corresponding person, session, activity or venue will remain unchanged.
Changes may be necessary for organisational, technical, health, safety, logistical or other reasons beyond the reasonable control of the Organiser.
13. Pre-Conference and Post-Conference Visits
Pre-Conference and Post-Conference visits are separately bookable activities and may have specific prices, capacity limits, schedules and cancellation conditions.
Places are subject to availability.
Participants must comply with all instructions provided by the Organiser and/or the relevant service provider, particularly regarding meeting points, departure times, transport, safety requirements, appropriate clothing and footwear, access restrictions and weather-related arrangements.
Failure to arrive at the designated meeting point at the required time may result in the participant being unable to join the activity, without entitlement to a refund, unless otherwise required by law or expressly provided in the applicable booking conditions.
14. Third-Party Services
Some products and services offered through the Conference website may be provided by third parties, including accommodation providers, transport operators, restaurants and catering providers, tour operators, museums and cultural institutions, local guides and activity providers.
Where a third party is responsible for providing a service, its own terms and conditions may also apply.
The Organiser will identify third-party services where relevant and will provide the information reasonably necessary for participants to understand the contractual arrangements applicable to those services.
15. Products and Merchandise
The website may offer Conference-related products, including merchandise, publications, educational materials and other goods.
Product descriptions, prices and availability will be displayed on the website.
Images are intended for illustrative purposes unless otherwise stated.
Minor differences between images and the physical product, including colour or packaging, shall not constitute a defect where they do not affect the essential characteristics of the product.
For physical goods, statutory consumer rights and guarantees applicable under Portuguese and European law shall apply.
16. Delivery of Products
Where physical products are purchased online, delivery conditions, estimated delivery times and applicable delivery charges will be displayed before payment.
The purchaser is responsible for providing a correct delivery address.
The Organiser shall not be responsible for delays or failed deliveries resulting from incorrect or incomplete information provided by the purchaser.
International deliveries may be subject to customs duties, taxes or other charges imposed by the destination country.
Unless expressly stated otherwise, such charges shall be borne by the purchaser.
17. Digital Products and Content
Where digital products or downloadable content are offered, the applicable conditions, format, technical requirements and access period shall be clearly identified before purchase.
Where legally applicable, the consumer may be required to expressly consent to immediate performance of a digital service and acknowledge the corresponding consequences for the right of withdrawal.
18. Intellectual Property
All content available on the Conference website, including logos, trademarks, photographs, videos, texts, graphics, maps, illustrations, programme materials, publications, databases and audiovisual content, is protected by applicable intellectual property legislation.
Unless expressly authorised, users may not reproduce, distribute, modify, commercially exploit or otherwise use Conference materials beyond personal and non-commercial purposes.
The use of the Conference name, logo or visual identity for commercial purposes requires prior written authorisation from the Organiser.
19. Photography, Video and Audio Recording
The Conference may be photographed, filmed and/or recorded for documentation, communication, educational, promotional and archival purposes.
By attending the Conference, participants acknowledge that they may appear incidentally in photographs, video recordings or other audiovisual materials produced in public areas of the event.
Where specific consent is legally required for identifiable uses, the Organiser will implement the appropriate consent mechanism.
Participants who do not wish to be photographed or recorded in circumstances where consent is required should follow the instructions provided by the Organiser.
20. Participant Conduct
Participants are expected to behave respectfully and responsibly throughout the Conference.
The Organiser may take appropriate measures, including refusing or withdrawing access, where a participant:
- Behaves abusively, threateningly or disruptively;
- Harasses other participants, staff or speakers;
- Damages property;
- Violates venue rules;
- Disregards safety instructions;
- Engages in unlawful activity;
- Materially interferes with the Conference.
No refund shall be due where access is withdrawn as a result of serious misconduct, without prejudice to any mandatory legal rights.
21. Accessibility and Special Requirements
The Organiser aims to make the Conference as accessible and inclusive as reasonably possible.
Participants requiring accessibility support, dietary arrangements or other reasonable assistance should indicate their requirements during registration or contact the Organiser as early as possible.
Certain activities, particularly field trips and visits to natural or geological sites, may involve uneven terrain, walking, stairs or other physical challenges.
The applicable activity description should be consulted before booking.
22. Liability
The Organiser shall take reasonable measures to ensure the proper organisation and safety of the Conference.
However, to the extent permitted by law, the Organiser shall not be liable for losses arising from circumstances beyond its reasonable control, including extreme weather, natural disasters, strikes, transport disruption, government measures, public health emergencies, security incidents, acts of third parties or force majeure events.
Nothing in these Terms and Conditions shall exclude or limit liability where such exclusion or limitation is prohibited by applicable law.
23. Personal Data Protection
Personal data collected through the Conference website and registration system shall be processed in accordance with applicable data protection legislation, including the General Data Protection Regulation (EU) 2016/679 (GDPR) and Portuguese data protection legislation.
The Organiser shall process personal data for purposes including, where applicable:
- Registration and ticket management;
- Payment processing;
- Invoicing;
- Event administration;
- Communication with participants;
- Provision of purchased services;
- Accessibility and dietary arrangements;
- Security and access control;
- Legal and regulatory compliance.

24. Marketing Communications
Participants may receive operational communications necessary for the organisation of the Conference.
Marketing communications, newsletters and promotional communications will be sent in accordance with applicable data protection and electronic communications legislation and, where required, subject to the participant’s consent.
Participants may unsubscribe from marketing communications at any time through the mechanism provided in the relevant communication.
25. Cookies
The website may use cookies and similar technologies for essential website functionality, security, analytics, performance, user preferences and marketing, where applicable.

Where required by law, non-essential cookies will only be activated following the user’s consent.
26. Complaints
Participants may submit complaints or requests for clarification to:

The Organiser will endeavour to respond within a reasonable period.
Consumers may also have access to applicable alternative dispute resolution mechanisms under Portuguese law.
The Organiser shall provide information concerning the competent Alternative Dispute Resolution (ADR) entity, where applicable to the contractual relationship.
27. Applicable Law
These Terms and Conditions shall be governed by the laws of the Portuguese Republic, without prejudice to any mandatory consumer protection provisions that may apply under the law of the consumer’s country of residence.
Nothing in these Terms and Conditions shall deprive consumers of mandatory rights granted to them by applicable European Union or national consumer protection legislation.
28. Jurisdiction
Any dispute arising from or relating to these Terms and Conditions shall be submitted to the competent Portuguese courts, subject to applicable mandatory rules concerning consumer jurisdiction and alternative dispute resolution.
29. Amendments to These Terms and Conditions
The Organiser may update these Terms and Conditions where necessary to reflect changes in the Conference, applicable legislation, products or services offered through the website.
The version applicable to a purchase shall be the version in force at the time the purchase is completed, unless otherwise required by law.
The date of the latest update shall always be indicated at the beginning of this document.
